Dundee Community Transport would like the help of a volunteer Secretary to support their AGM and regular Board Meetings.
Key duties include
· Write minutes from board meetings and AGMS (attendance, discussions, and actions)
· Circulate minutes from board meetings/AGM in a timely manner
· To edit and resend minutes if any inaccuracies reported by board members
· To attend and contribute to discussion and decisions made at board meetings
The board usually meets every 6-8 weeks. This has been on zoom recently, but we are hoping to get back to some face to face meetings too. They are usually for about an hour to an hour and a half.
We have our AGM usually at the end of November, beginning of December, depending on everyone’s availability.
An exciting opportunity has arisen for an experienced HR professional to join the NESCAN Hub Board. NESCAN Hub is a young dynamic and agile organisation (almost 2yrs old!) in an exciting stage of systems and staff development, while sustainably growing the organisation. We need someone with HR experience in the third sector, who is passionate about community development and empowerment and acting on climate change, to help advise and steer the Board in relation to people management, alongside the general Board work.
Board members contribute to the delivery of the Hub’s vision and aims by providing leadership, direction, and advice to the NESCAN Hub staff team. This is a volunteer role that will provide the right candidate with the opportunity to be an integral part of our dedicated team and make a positive impact on the North East of Scotland, its communities, and environment.
Volunteer commitment is approximately 6 hours per month, including attendance at hybrid Board meetings for 2 hours every 2 months and running of and attendance at our HR & People Subgroup.

HcL support people throughout the Lothians. We provide supported door-through-door transport for people with mobility challenges – either from age, disability, health issues or additional support needs. Dispatchers take passenger bookings, arrange journeys, deal with enquiries and provide information when requested. To ensure the smooth scheduling of journey requests. Using various office equipment correctly, including IT, telephone and photocopier.

We are looking to recruit an Administration Volunteer for the Ross-shire Group. Our Administration Volunteers are the linchpin for our local groups’ activities. They act as the first point of contact and they make sure all relevant information is circulated to other volunteers and members. And they play an important role in keeping our data and details up to date to comply with data protection legislation.
In this role you’ll develop your administration and organisation skills. Most importantly you’ll be help your local group run efficiently, so they can keep providing valuable services to our MS community.
Time Commitment
We estimate this role will need around 2 hours a week. Our roles are flexible and aim to fit around you. Time commitments for this role may vary depending on your activities. This is an ongoing role.
This is a great opportunity to gain experience within a large charity and develop your existing skills and learn new ones. We need you to get involved and help make positive changes to the lives of people affected by MS.
About you
You’ll have an interest in the MS Society and the work that we do, as well as the enthusiasm to represent both us and our values locally. You will understand the needs of people affected by MS in your area and be sympathetic to the needs and motivations of volunteers. You’ll be confident using Microsoft Office, the internet and email. You’ll be able to apply disability, equality and inclusion practices and understand and apply our risk management system. Ideally you’ll understand the local area and organisations that provide local services.
You will be reliable and easy to contact and you need to live in or near the area the group to carry out this role.

SWAN is recruiting for a secretary to join our Board.
Founded in 2012, we have gone through a period of significant change and growth over the last 18 months and are seeking a new Treasurer to join us on our Board for the next phase of our journey.
As a SWAN trustee, you have the chance to support and shape our work and strategic direction and make a significant contribution to improving the lives of autistic women, girls & non-binary people across Scotland.
SWAN Board meetings are held on Zoom - currently once every 6 weeks, for around two hours. As we are a small Charity, we do expect Trustees to contribute beyond preparing for and attending Board meetings. Each Trustee has their own roles and responsibilities, and we sometimes hold extra meetings for Board Development, Strategy Development, etc. We currently have 6 Trustees and are recruiting to the Secretary role.
Regular Trustee duties include:
Reading Board papers before each meeting to prepare (agenda, minutes, CEO & finance reports, etc.)
Attending Board Meetings (online) every 6 weeks Familiarising yourself with SWAN and what we do (we can help you with this)
Volunteering for extra tasks which come up at meetings – depending on your skills, this might be helping with fundraising, sharing our social media posts, or supporting with HR or policies (less so for the Treasurer, who already has defined tasks, unless you have extra time available).
Checking your SWAN email for any information or requests for responses from other Trustees or the CEO
Representing and promoting SWAN and SWAN's work
Secretary tasks include:
Liaising with the CEO and Chair to organise Board meetings, agendas and papers
Convening meetings – sharing dates, times, Zoom link, etc. with other Trustees
Coordinating minute-taking (SWAN Trustees currently share the role of taking minutes on a rolling rota)
Circulating Agenda and papers for Board meetings to the other Trustees & saving them to the SWAN Shared Drive
Liaising with the CEO and Treasurer to ensure records are up to date with the Charity Regulator
You can fulfill the Trustee role from home and, other than Board Meetings, in your own time. We are flexible in how and when you carry out the role as best suits you and we use a combination of email, video calls and text chat tools to keep in touch depending on preferences.
You'll be able to work independently and bring your own skills and ideas to the Secretary tasks if you'd like to, but you will also be part of a friendly, welcoming team and will get all the support, training and information you need to carry out the role.

Liaising with the CEO and Secretary to ensure statutory returns are made to the Charity Regulator
You can fulfil the Trustee role from home and, other than Board Meetings, in your own time. We are flexible in how and when you carry out the role as best suits you and we use a combination of email, video calls and text chat tools to keep in touch when we need to, depending on our communication preferences.

What is an Administration Coordinator?
The Administrator Coordinator is a key member of the team, ensuring the smooth running of the branch and supporting day to day operations. This role is at the heart of the branch, overseeing the group inbox, organising meetings, and liaising with volunteers and external stakeholders.
What will you be doing? Every SSAFA Branch has different needs, however, below are the main activities of a Branch Administration Coordinator.
• Overseeing enquiries: Overseeing the administration of the branch shared inbox and post, ensuring queries are answered
• Getting people together: Organising internal meetings, both virtually and face to face
• Planning and organising: Liaising with internal and external stakeholders to arrange events such as the Branch Annual General Meeting
• Note taking and recording: Maintaining accurate records of meetings and decisions
• Communicating: Supporting the Branch Chair with internal communications, keeping other volunteers up to date and informed
• Tracking and ordering: Keeping a record of branch assets, ordering stationery, and ensuring maintenance of equipment
• Supporting health and safety: Supporting the Branch Chair with administration of personal, office and event risk assessments where required
