Description

The secretary plays a vital role in assisting the committee organise the smooth running of the support group ensuring vital support is given to those who have suffered a brain injury, their families and carers.

Preparing for meetings:
Sending notices of all meetings to members within the time required by the governing document; Making arrangements for meetings – booking rooms, arranging refreshments, ensuring access for all attending; Preparing the agenda in consultation with the Chair and distributing the agenda with any background papers; Checking that members have carried out tasks agreed at the previous meeting.

Participating in meetings:
Ensuring that the minutes of the previous meeting are accurate, agreed and signed and dated on each page by the Chair; Taking and producing minutes of the meeting, noting the names of those attending and apologies, major decisions, any votes taken and agreed further actions; Distributing minutes in a timely manner.

Regulatory Documents:
To keep proper records for at least 6 years (or more if certain funders require it).
To declare your charitable status on all correspondence, cheques, invoices and receipts.

Organisation aims and objectives

To promote understanding of all aspects of brain injury and to provide information, support and services to people with a brain injury, their families and carers.

Frequency and commitment details

10-12 hours per month.Days and times to be confirmed.

Restrictions

Experience required: Excellent telephone manner and people skills. Good verbal and written communication skills. Outgoing, friendly and proactive character. Ability to work on own initiative. Commitment to working with compliance, policies and procedures.
Travel details: Focus Centre, Galashiels.
Minimum age: 18

Training details: Committee and Network Coordinator will assist with initial secretarial training. Brain injury training is offered through Headway UK.

Group Coordinator Volunteers

This is an opportunity for someone who is passionate about community development and working with communities to use their own assets to make a real difference to improving life in the Multiple Sclerosis community? Our ideal candidate will have experience of working with volunteers, although this is not essential. More importantly they will be a great communicator with fantastic organisational skills, who will play a key part in looking after our volunteers, helping them to grow and ensuring our volunteering processes run smoothly and efficiently. They will be self-motivated with a naturally collaborative working style; and thrive working in a small, enthusiastic team making a difference to the MS community. Working with the Volunteer Support Team, the Group Coordinator is responsible for coordinating all aspects of volunteering, delegating work and supporting the effective development and delivery of services in the area. You will help to support and retain volunteers to deliver our services – leading on volunteer recruitment, communication, and stewardship of the Coordinating Team with a commitment to equality and inclusion as well as healthy and safe working practices. General Volunteer

Contribute to the maintenance of a professional and welcoming environment of Headway Borders Group and continue in providing the vital support needed for those with brain injury, their families and carers. Tasks: To arrange refreshments for the group. Setting up and clearing away for the group. Arrange activities for the group and source materials. To distribute literature from Headway UK to members including competitions and information. Liaise with other volunteers to produce quarterly newsletter.
